Event FAQ

I need a room to meet with someone. Do I need to schedule that on the calendar?

Yes. All activities, events, meetings, etc. need to be scheduled on the church calendar. This helps ensure that rooms and resources are not double-booked.


I'd like to have a personal event at the church. How do I go about getting it scheduled? What do I need to know beforehand?

First, please complete an Private Event Request Form to schedule your event. If the date and time you request is not available, we will contact you to work out another option. If you are unsure of which room to reserve, we suggest reserving our Activities Room (A115) because of its easy access with the back patio entrance, 60" wall-mounted TV, and included kitchen with a sink, stove, oven, refrigerator, and dishwasher.

Fees are charged to cover all costs to the church. All fees must be paid 14 days prior to your event. Fees are payable to "First Baptist Church Maryville" or "FBCM" and must be paid directly to the church office with the following designation, "Building Usage Fee for (Name of Event)." Fees are assessed per room, as follows:

Our FBM ministry would like to have an event at the church. What form do we need to complete and what do we need to know about fees and guidelines?

Events sponsored by ministries of our church should fill out the Church Event Request Form. There is no Facility Usage Fee. The following guidelines need to be followed when scheduling a ministry/church event:

  • The ministry in charge of the event is responsible for setting up and tearing down for the event.
  • Supplies, drinks, and other consumables must be supplied by the participants/ministry. Church supplies/consumables should not be used without prior consent unless specifically covered within the approved church budget.
  • Any unusual conditions need to be reported in the Event/Promo Request Form (if there will be loud noise, frequent use of hallways outside rooms, etc.) to avoid conflicts with other activities.
  • Need for sound, lighting, or other non-standard room equipment needs to be requested in the Church Event Request Form. Fees for technician may apply.

I am with an organization or another church that would like to use your facility. What form do I need to complete?

Outside organizations will need to complete a Private Event Request Form. All requests will be considered for approval/denial in Ministerial Staff meetings. Because of this, requests may take up to 2 weeks for the approval/denial process. For requests to be considered, the following guidelines need to be met:

For Profit Organizations (Businesses)

  • The organization and its activities must not conflict with our statement of faith or be morally questionable.
  • The facility usage cannot conflict with any previously scheduled church event.
  • Any long-term usage cannot cause future unavailability for church-related events.
  • The organization must not conduct activities that provide a risk not normally covered by our insurance or provide a certificate of insurance with bodily harm and property damage limits of at least $1 million (and evidence that their insurance carrier covers the specific activity/event).
  • All requests must be given at least 2 weeks in advance.
  • Supplies, drinks, and other consumables must be provided by the organization.
  • Fees will be determined by the Business Administrator, depending on whether the business provides a service to the community or the church and the level of usage. Any business that make over a $10,400 profit during a twelve month period, will have fees assessed by the Leadership Team to cover facility usage, maintenance, utilities, and additional custodial services. This is payable to "First Baptist Church Maryville" or "FBCM" and must be paid directly to the church office with the following designation, "Building Usage Fee for (Name of Business)."

For Cottage Businesses

A Cottage Business is any small operator that makes up to a $10,400 profit during a twelve month period. The following guidelines must be met:

  • The Cottage Business and its activities must not conflict with our statement of faith or be morally questionable.
  • The facility usage cannot conflict with any previously scheduled church event.
  • Any long-term usage cannot cause future unavailability for church-related events.
  • The Cottage Business must not conduct activities that provide a risk not normally covered by our insurance.
  • All requests must be given at least 2 weeks in advance.
  • Supplies, drinks, and other consumables must be provided by the Cottage Business.
  • A fee of 5% of all income shall be assessed to cover facility usage, maintenance, utilities, and additional custodial services. This is payable to "First Baptist Church Maryville" or "FBCM" and must be paid directly to the church office with the following designation, "Building Usage Fee for (Name of Business)."

For Non-Profit Organizations or Churches

  • Other churches of like faith, Non-Profit Organizations, and their activities must not conflict with our statement of faith or be morally questionable.
  • The facility usage cannot conflict with any previously scheduled church event.
  • Any long-term usage cannot cause future unavailability for church-related events.
  • The organization must not conduct activities that provide a risk not normally covered by our insurance or provide a certificate of insurance with bodily harm and property damage limits of at least $1 million (and evidence that their insurance carrier covers the specific activity/event).
  • All requests must be given at least 2 weeks in advance.
  • Supplies, drinks, and other consumables must be provided by the organization.
  • Fees will be determined by the Business Administrator.

I would like sound equipment, lighting design, or a computer/projector. How do I request these?

These items and more can be requested on each Event Request Form (Meeting Request, Private Event, Church Event). Technicians approved by First Baptist Maryville are the only people allowed to operate equipment. When requesting this equipment, the following fees may apply:

Sound Equipment $75
Lighting Design $75
Computer/Projector $25/hour

Are there any regulations for decorating for an event?
  • We ask that you do not use scotch tape, plastic adhesive, push pins, nails, or tacks to affix materials to walls, woodwork, or windows. If absolutely necessary, please use Painter's Tape.
  • If you plan on using any flammable, toxic, or corrosive materials with your decorations, these items must be approved by the Facilities Manager. Items of this nature may include candles or any other open flame/combustible items.

Does the church have appliances or dishware that I may use for my event?

We have several coffee makers, with coffee pots, that are available for you to use. We also have a few punch bowls, serving utensils, a commercial-grade kitchen, and our Activities Room (A115) has a full-size kitchen available with a stove, oven, refrigerator, sink, dishwasher, and microwaves. We ask that you first try to find other means of attaining these items on your own, before using ours. If you find that you need to use our appliances/dishware, please notify us and return all items in a clean matter, exactly where and how you found it.

 

Promo FAQ

How do I know if my announcement will make it in the Worship Guide?

Your announcement will be published as long as it follows these general policies:

  • Items inconsistent with the beliefs and values of First Baptist Maryville (FBM) will not be promoted in any way by FBM.
  • Promotion requests that conflict with an FBM event or promotion in any way will not be honored.
  • Requests to promote events with no ministerial, spiritual, charitable, or community value will not be honored.
  • All Worship Guide (WG) Announcement requests must be submitted via the Church Event Request Form or the Promo Request Form.
  • WG Announcement requests must be received by 12 p.m. on the Tuesday one week before the desired Sunday publication date. In the event of a short work week other deadlines may apply.
  • WG Announcement requests from official ministries of FBM will be honored before any other announcement requests. Announcements not promoting official FBM ministries, promotions, or church business may be left out if space is limited. If space is limited and only FBM announcements are included/requested, the announcement(s) with no date or the furthest date from the WG publication date may be left out.

Birth Announcements

A note of congratulations will be placed in the WG for one Sunday (as space allows) for all member parents (must be listed as a member in our records) who welcome a new baby by birth or adoption. The following details will be published:
  • Parents’ names
  • Baby’s first and middle name
  • Baby’s gender (son/daughter)
  • Baby’s birth date/adoption date

Sympathy Offerings

A note of sympathy will be placed in the WG for all members and regular attenders who lose a spouse, child, parent or step-parent, grandparent, sibling or step-sibling, or in-law of the same relationship to the member/attender’s spouse. The following details will be published:
  • Name of the person/family affected
  • Relationship to the loved one
  • Deceased’s name (only if a member or regular attendee)

Invitations to Showers, Weddings, Parties

Any such announcement will only be published in the Worship Guide (limit of one Sunday) if the following criteria are met:
  • The event is being held in honor of a church member(s) as listed in our records.
  • The entire church family (members and regular attendees) is invited.
  • There is space in the Worship Guide AFTER all other requests for announcements for official FBM ministries, church business, and promotions have been honored.

Thank You Notes

  • Requests for notes of thanks to be published in the WG will be honored only for official ministries of FBM in thanks of volunteers or fundraiser supporters. Such notes will run a maximum of one week when space is available AFTER all other requests for announcements for official FBM ministries, church business, and promotions have been honored. Exceptions may be made at the discretion of church staff.
